Terms & Privacy Policy

These Terms and Conditions ("Terms") govern all venue bookings, services, and facilities made available by the M Group, including but not limited to M Weddings and Conventions, M Stays Guest Accommodation, Shrivaaru Palace, TAKKT Southern Café, Burgundy Banquets, and M Kitchen (collectively referred to as the "Venue", "Group", "Company", "Services" or "Facilities").
By confirming a booking, making a payment, or using any of the Services, the Client agrees to be legally bound by these Terms and all associated policies.

1. Definitions
1.1 Venue / Company / Group refers to the collective legal entities owning, operating, or managing the Facilities listed above.
1.2 Client / Customer / Organizer refers to any individual, company, firm, or entity booking or using the Venue and its Services.
1.3 Event refers to any scheduled use of the Facilities, including but not limited to meetings, conventions, weddings, banquets, receptions, social events, and corporate functions.

2. Scope of Application
2.1 These Terms apply to all bookings, reservations, and use of Services provided by the Group, including event spaces, guest accommodations, food and beverage services, and any ancillary or third‑party services arranged through the Venue.
2.2 Any additional or differing terms proposed by the Client shall be binding only if expressly agreed to in writing by the Venue.

3. Reservation, Confirmation, and Deposits
3.1 Reservations are considered confirmed only upon receipt of the applicable non‑refundable deposit and written confirmation from the Venue.
3.2 The remaining balance must be paid in full prior to the Event date, or as otherwise stated in the executed agreement or invoice.

4. Payment Terms
4.1 All payments shall be made in the currency specified in the booking confirmation or invoice.
4.2 Any additional charges incurred, including but not limited to overtime usage, additional services, or last‑minute changes, must be settled prior to departure or upon receipt of the final invoice.

5. Cancellation and Postponement Policy
5.1 All cancellations by the Client must be communicated in writing to the Venue.
5.2 Cancellation charges shall apply based on the timing of written notice prior to the Event as per Companies policies.
5.3 Any postponement of an Event shall be treated as a cancellation and a new booking. Deposits may be forfeited or adjusted at the sole discretion of the Venue.
5.4 The Venue reserves the right to cancel any booking due to non‑payment, force majeure events, safety concerns or circumstances beyond its reasonable control.

6. Force Majeure
6.1 Neither party shall be held liable for failure or delay in performance due to events beyond reasonable control, including but not limited to acts of God, government regulations, pandemics, strikes, riots, fire, natural disasters, or other emergencies.

7. Use of Facilities and Conduct
7.1 The Facilities shall be used strictly for the purpose specified in the booking agreement.
7.2 Subletting, assignment, or unauthorized third‑party use of the Facilities is strictly prohibited without prior written approval from the Venue.
7.3 The Client and all attendees must comply with applicable laws, fire and safety regulations, and Venue rules at all times.
7.4 The Venue reserves the right to remove or evict any person or group engaging in disorderly, unsafe, illegal, or disruptive behaviour without any liability or refund.

8. Capacity, Configuration, and Event Guarantees
8.1 The Client must provide final details including guest count, seating layout, menu selections, audiovisual requirements, décor plans, and event timelines no later than prior to the Event.
8.2 Failure to provide final specifications within the stipulated timeline may result in a default setup determined by the Venue, with any additional costs charged to the Client.

9. Accommodation Policy
9.1 Guest room bookings linked to Events may require separate contracts, deposits, and payment schedules.
9.2 Standard accommodation policies regarding check‑in and check‑out times, occupancy limits, and guest conduct shall apply.
9.3 Room cancellations, early departures, and no‑shows shall be governed by the Venue’s accommodation cancellation policy.

10. Food & Beverage / Cloud Kitchen Policy
10.1 The Venue may retain exclusive catering rights. Outside food and beverages are not permitted unless expressly approved in writing.
10.2 Cloud kitchen and catering services are subject to separate menus, pricing, and payment schedules as detailed in the quotation or contract.
10.3 Final menu selections, dietary requirements, and service timelines must be confirmed prior to the Event.

11. Liability, Indemnity, and Insurance
11.1 The Client shall be responsible for any damage to Venue property caused by the Client, guests, or appointed vendors.
11.2 The Client agrees to indemnify and hold harmless the Venue, its affiliates, management, and employees against all claims, losses, damages, liabilities, and expenses arising from the Event, except where caused by the Venue’s gross negligence or wilful misconduct.
11.3 The Venue reserves the right to require event liability insurance at the Client’s cost, particularly for large‑scale or high‑risk events.

12. Third‑Party Vendors Policy
12.1 All third‑party vendors must receive prior written approval from the Venue.
12.2 Vendors must comply with Venue policies and submit valid licenses, permits, and insurance documentation where applicable.

13. Safety, Security, and Property
13.1 The Venue may implement security procedures, including bag checks and access controls, as deemed necessary.
13.2 The Venue shall not be responsible for loss, theft, or damage to personal belongings of Clients, guests, or vendors.
13.3 Hazardous, illegal, explosive, or inflammable materials are strictly prohibited on the premises.

14. Privacy and Data Protection Policy
14.1 The collection, use, storage, and processing of personal data shall be governed by the Venue’s Privacy Policy and applicable data protection laws.
14.2 By accepting these Terms, the Client consents to such data processing for legitimate business and operational purposes.

15. Governing Law and Dispute Resolution
15.1 These Terms shall be governed by and construed in accordance with the laws of the jurisdiction in which the Venue is located.
15.2 Any disputes shall first be resolved through good‑faith discussions. If unresolved, the matter shall be subject to the exclusive jurisdiction of the courts of that jurisdiction.

16. Amendments
16.1 The Venue reserves the right to amend or update these Terms and Policies at any time.
16.2 Revised Terms shall become effective upon written communication or publication by the Venue.
